How digital estimate approval works for Canadian auto shops
Short answer: Digital estimate approval means the customer gets a secure link, ticks each line, and signs on their phone — no app, no printout. Declined lines never hit the invoice. Bayline includes this in the $69 CAD flat plan, with a 7-day trial.

Most shops still lose time on estimates the old way: print a copy, leave a voicemail, wait for a call back, then chase a signature. By the time the customer says yes — or no — the bay may already be full, and the advisor has spent half an hour on phone tag. Digital estimate approval is the quieter alternative: one link, line-by-line choices, a signature on the phone they already have.

Why phone-tag estimates cost you jobs
Paper and phone-back estimates aren't free. Someone has to print, call, leave a message, call again, and rewrite the RO when the customer finally picks up. That time doesn't show up as a line item — it shows up as delayed approvals, empty bays waiting on a yes, and jobs that quietly go elsewhere because the customer never got a clean answer.
The awkward part is the middle: the customer isn't sure what they're approving, the advisor isn't sure which lines are still open, and nobody has a clean record of what was said. A digital path doesn't fix every shop problem, but it removes that fog. The customer sees the work, makes a choice per line, and signs. You see the result on the RO without another round of voicemail.
What digital estimate approval actually is
Strip away the buzzwords and the idea is simple. The shop sends a secure link — usually by SMS or email — tied to that estimate. The customer opens it on their phone, reviews each line, approves or declines what they want, and signs. No shop app to install. No printed packet to find. Declined lines stay off the invoice. If you change the estimate, the system should create a new version so you're never arguing over which PDF was "the real one."
That's the whole product promise in one sentence: a truthful snapshot the customer can act on, and a trail your shop can stand behind.
What to ask any vendor
You don't need a long checklist. These four questions will tell you if "digital estimates" means what you think it means:
- Can the customer approve or decline line by line, or only the whole estimate?
- When you edit an estimate, does it re-version so the old snapshot stays clear?
- Can you send by SMS and email from the shop's own number, not a personal cell or a mystery short code?
- Is digital approval included in the monthly price, or an add-on?
If the answer to the first or the last is fuzzy, keep asking. "We send PDFs" is not the same as line-level approval with a signature and a clean invoice path.
How Bayline does it
On Bayline, the estimate lives on the repair order. You send the customer a secure link; they approve or decline line by line and sign on their phone — no app needed. Declined lines never reach the invoice. Every edit re-versions the estimate so the snapshot stays truthful.
You can send estimates (and invoices) by email and SMS from your shop's own phone number, so the text comes from the shop, not a stranger's number or the advisor's personal cell. Unlimited email and SMS of estimates and invoices are included — no per-user or per-text fees. Consent is checked at send time, and messages are logged on the RO thread.
All of that sits inside the same flat plan: $69 CAD a month, with a 7-day free trial. See the full picture on Features, or start a trial on signup.
A note for Canadian shops
Estimates and invoices in Bayline run in Canadian dollars, with your province's taxes on the same RO path — so the total the customer approves is the total you're building toward on the invoice. Shop data stays in Canada, in Beauharnois, Quebec. If you're weighing where your records should live: Why Canadian shops should keep shop data in Canada.
